Policy for local students

PHILISOPHY:
World Sikh University recognises the impact of regular University attendance on students’ learning. The University seeks to promote regular attendance through providing stimulating lessons, keeping in close touch with the home and monitoring individual students.

RESPONSIBILITIES:
The Student/University partnership is vital in the area of University attendance, the University expects students to be responsible and attend the University regularly. In case of foreign students , if they do not have at least 85% attendance in any term, they will be given a warning, and if this continues in the next term they will be suspended from the University and reported to the local authority concerned.
The codes of attendance vary from lecturer to lecturer, however the recommended codes are as follows:

O/A Absent
H Family holiday for which leave has been granted.
I Attending an interview.
M Medical (includes visits to dentist/optician).
P Sick.
R Religious observance.
S. Study leave, license performance or work experience.
V Educational visit, music examination, University journey, or sporting activity.
(b) Where students are being educated off site, e.g. on a University visit, the teacher in charge should mark students as present on a temporary register. The information should be transferred to the normal class register at the beginning of the following day. It is
essential that the University office know which students are left on the University site.
(c) Family holidays should not normally be taken during term time. Leave of absence may be granted at the discretion of the Principal for a period of up to two weeks in the
Academic year. In exceptional circumstances such as an illness of a relative living
Abroad the Principal may grant leave of up to six weeks, using the gold form.
After six weeks absence students will be taken off the University roll.
(d) All registers must be completed in ink. Tipex should not be used. Teachers are
requested to write in the reason for absence in the space provided.

NOTIFICATION:
Parents should inform the University as soon as possible by letter or telephone as to the reasons for the student’s absence. Letters should be brought in to the class teacher in advance of any known absence. In the case of students whose attendance has caused concern in the past, the home should notify the University, if possible by telephone, on the first day. If the absence is likely to be more than three days the home should notify the University within the first or second day. If the absence is for one, two or three days a letter addressed to the class teacher upon the student’s return will be sufficient.
Telephone calls from the student’s home can be taken as evidence of authorised absence in the place of written notification. Written notification is, however, preferable and to be encouraged.
N.B. Only the University, within the context of the Law, can approve absence, not parents. Universities may authorise absence retrospectively where they are satisfied with the explanation offered. Harrow LEA is charged in Law with enforcing University attendance for students of compulsory University age.

ATTENDANCE MONITORING FOR LOCAL STUDENTS
The Deputy Academic Registrar will be responsible for checking attendance registers at regular intervals.
Letters from parents regarding absences should be kept at the back of the registers. These letters will be removed from the registers at the end of each term and stored in the University office. Lectaurers will be responsible for informing of any causes for concern regarding attendance.
The University’s Welfare Department will be responsible for collating information regarding attendance figures and will liaise with class teachers, parents and, where necessary, the Educational Social Worker. The Social Inclusion Officer will liaise with the Educational Social Worker on a weekly basis.
Where a student’s attendance causes concern to the University either through patterns of lateness or absences (with or without parental notification), a written referral should be completed for the Educational Social Worker. The referral form will be completed by the Social Inclusion Officer before being read and signed by the Vice Chancellor.
N.B. The Learning Mentor may be asked to deputise for the Social Inclusion Officer in pressing circumstances.

Policy for Overseas Students |

A record of attendance is kept for each student. All students are expected to attend lectures in accordance with their timetable and required number of hours for their course. Lecturers will report late comers to the Administration Department on a regular basis. The University reserves the right to bar a student from examinations and withdraw them from their course if the student’s attendance record shows that they have attended fewer than 85% of their scheduled lectures. The University reserves the right to suspend or expel such students, without any liability whatsoever to the University.
In the event of unforeseen circumstances that prevent the student from attending their lectures, the University must be informed immediately to seek advice on how best to handle their situation. In the case of an illness that prevents the student from attending their lectures for five consecutive days or more, the student will need to present a Medical Certificate to the University to avoid being marked absent for the lectures they have missed. Extra lectures may need to be scheduled to teach the material covered during the period of illness or otherwise. The University reserves the right to pass some or all of the extra cost for these lectures to the student.
Overseas students who do not arrive at University to complete their enrolment and commence their lectures in time for the start of their course once they have been granted a UK Student visa must inform the University in advance of their situation and acquire an appropriate extension on the start of their course. Late students who do not fulfil these requirements will be deemed to have absented themselves from their course and may be expelled from the University, in accordance with the University’s regulations on non-arrival. Students expelled in this manner will not be eligible for any refund of their paid tuition fees. |

MONITORING ATTENDANCE IN THE CASE OF FOREIGN STUDENTS
The attendance is recorded by the lecturers during the class.. A weekly monitoring sheet is updated on excel computer program for each student, and if his attendance is below 85% during the week a verbal warning is issued. This student’s attendance will be scrutinised and monitored over the next 2 weeks and if there is no improvement in the % of attendance, a written warning will be issued. This will be recorded on his progress sheet. If the student does not improve his attendance record over the next two weeks, despite the written warning, then his enrolment will be terminated, and the Home Office informed immediately.
If a student has missed all the lectures during the week, then he will be contacted immediately and an oral warning will be issued. If the student is untraceable or fails to show up over the next week then we will inform his parents at their permanent address that the student has abandoned the course, and within 5 days thereof we will terminate his enrolment and inform the Home Office accordingly.
THE ABOVE POLICY WILL ENSURE THAT ALL STUDENTS HAVING ATTENDANCE RECORD BELOW THE REQUIREMENTS OF THE HOME OFFICE WILL BE REMOVED WITHIN ONE MONTH, OR ANY STUDENT WHO IS ABSCONDING WILL BE REMOVED WITHIN 3 WEEKS.
